How to control material spends made from site?

A lot of our customers will come to us trying to figure out how they can control material spends that have been made from site. The first thing we’ve got to do is have a clear connection point between what’s going to happen on site, which is the action point, and where the action is going to be fed to.

So, the first thing we’re going to do is set up a project and look at that project and break that project down. Now, if the case is we’re going to have orders being made directly from site, what we’re going to do is we’re going to link up an adjoining app and set a permission set in place that allows anyone that has permission to order material to do so. So, we can set up a permission set that says that we can order materials.

From there, we can link up material prices via catalogue, and we can allow people just to allocate these costs as they’re going. What that’s going to do is it’s going to connect that cost straight into this dashboard, and we’re going to give it a very simple color code. Anything that’s a commitment that’s been made on the project, so i.e. purchase orders that have been raised from site, we’ll flag in amber, we’ll link them into the projects, we’ll link them into the phase of the projects, and we’ll make sure that they’re being tracked against cost code if that’s important for you.

So, that gives us an amber status. PODs, Good Received Notices, all that can then be tracked on the mobile app as well so we can understand what’s being ordered, now what’s been delivered against that order, meaning that as we take control over this, we can now open up purchase order sections, filter by project, filter by user, filter by phase of project, date range, status, and we now have control over what people are ordering, when it’s being delivered to site, what’s being delivered against the order, what’s being invoiced against that order, we have full control over the spend now.

But most importantly, we have a connection point and a control mechanism in place that says if anyone in the company is going to commit to a cost, no matter where they are in the country, we have a connection point between that mobile device and our dashboard here.
